Legal Secretary/Administrative Assistant - In House Litigation
The Legal Secretary/Administrative Assistant provides administrative support to Attorneys and/or Paralegals in the Litigation Section of the Legal Department, whose main functions include tenant bankruptcies, collections, as well as litigation defense. Incumbents in this position generally spend 75% of their time performing general administrative/secretarial duties such as preparing legal documents, typing, filing, answering phones, making travel arrangements, etc.
Essential Responsibilities
• Prepare and process correspondence, court papers, pleadings, lease contracts, assignments, amendments, terminations and other miscellaneous legal documents in an accurate and timely manner, conforming to all rules of punctuation, grammar, diction, and style.
• File court documents electronically and serve notice on the appropriate parties. Assist in bankruptcy research on PACER or electronic filing in federal court or in other litigation matters.
• Develop and maintain filing system of all materials for assigned personnel in a manner of their choosing.
• Maintain a calendar for all critical deadlines.
• Develop and maintain positive relations with other departments and coordinate the exchange of information needed from other departments.
• Make all necessary arrangements for meetings and travel. Prepare expense reimbursement forms.
• Provide administrative support for engagement of outside law firms, including coding of billing invoices.
• Process all incoming and outgoing mail.
• Assume additional duties and responsibilities as requested from time to time.
Job Requirements
Education, training, experience:
Essential Knowledge and Skills
• Proficiency in Microsoft Word, and a general knowledge of Windows 2007 applications; proficiency in Excel and prior experience with Lotus Notes and related databases is preferable
• Strong and accurate typing skills
• Strong writing skills with the ability to create professional written correspondence from rough drafts, verbal instructions, notes, etc.
• Must be organized, detail-oriented, and enjoy working in a fast-paced environment with the ability to complete a heavy volume of detail-focused work
• Must be a self-starter able to work with limited supervision
• Must have strong verbal communication skills
Education and Experience
• A minimum of 3-5 years experience as Legal Secretary/Legal Administrative Assistant with experience in bankruptcy or litigation in the real estate context strongly desired
• Requires high school diploma or equivalent
